Make sure that you have the full version of Zoom Pro. It’s free for students from the Office of Software Licensing: https://tlt.utah.edu/forms/zoom-pro-license-request.php. If you need help, you can contact the Office at helpdesk@utah.edu (or call 801-581-4000 x1).
Once you have Zoom Pro set up, make sure you test it!
Note: I recommend structuring your tool for this interview as formally as you can, if for no other reason that to build your skills as a formal interviewer!
1. You should create individual meetings for your session, rather than using your Personal Meeting ID (room). Using your personal room for a research session could result in unwanted visitors joining a meeting when you are conducting your interview.
2. Create a unique name (perhaps use the interviewee's name) in the Meeting Topic box.
This helps you stay organized and also can help your interviewee understand what's going on.
3. Choose host/participant videos off in the scheduling box.
It is polite to start the meeting with the video off so the host and participant can choose when to make the video available. Otherwise, the video might be enabled before you or your interviewee are ready; it is often part of interview protocol to verbally reaffirm consent.
4. Keep the audio options set to “Both.”
Just in case there are technical problems, it is good to not restrict your options.
5. Make sure “enable join before host” is checked.
This allows the participant to enter the meeting room ahead of time, get familiar with meeting options, and most importantly, check their audio and video set up ahead of time.
6. When using Record function, always record to your computer. Though the cloud storage is still HIPAA compliant, etc., it does have an expiration date (Zoom will default to deleting saved files as soon as seven days after recording). It is good practice to save your interview and create a backup in University-approved storage (U Box, for example).
